UPDATE YOUR NAME ON ZOOM
Once you have entered the Zoom room, remember to update your name so that Dancewave staff and Panelists can easily identify you. Using the blue menu dots in the top-right corner of your personal Zoom window, click Rename and update your name to be “Firstname, Lastname, State/Province” (ex. “Amber Brown NY”).

Auditionees, include your Audition Number before your name (ex. “7. Amber Brown NY”). Auditionees – check your email for your Audition number!

PRO TIP: PRE-REGISTER
Click on any Zoom Access link on the website to pre-register for the Panels and Workshops you plan to attend. Once submitted, you can choose the option on your confirmation message to Add the Panel to your personal calendar. This one-click step will automatically sync the Zoom Access Link to your calendar for quick and easy access on the day of the event.

FOR STUDENTS/FAMILIES

Auditionees Only: list your Audition Number before your name (ex. “7. Amber Brown NY”). Auditionees will receive their Audition Numbers via email on no later than 12:00pm on Friday, October 16.

BREAKOUT ROOMS
Zoom Breakout Rooms divide College Fair Panel guests into as many as 4 smaller groups, providing an 11- to 15-minute session for each school to discuss their program details more in-depth.

CAMERA/MICROPHONE SETTINGS
For the best possible event flow, participants will be muted upon entry, with cameras turned off. Please keep yourself muted with camera off for the duration of the College Fair Panel introduction and wrap-up sections. You may turn your camera ON during the breakout room (one 15-minute breakout room session per school takes place during each College Fair Panel) for more personal interaction and Q&A.

NON-VERBAL SIGNALING
If you have a question for the Panelists or regarding technical needs, you may drop your inquiry into the Chat and a DTCB representative will assist you.

COLLEGE FAIR PANELISTS
Panelists are listed in their College’s Virtual Booth. Panelists will be introduced at the beginning of each College Fair Panel, including their full name, school and title/position.

TAKE NOTES & ENGAGE
DTCB College Fair Zoom Panels are designed to simulate the live college fair experience, replacing the usual experience of milling around a large room of event tables.

DTCB College Fair Zoom Panels are YOUR OPPORTUNITY to ask questions and get feedback directly from DTCB College Representatives. Listen, take notes about your feelings and impressions throughout the experience…. it will help you later as you look back, reflect, and ultimately make your college choice later on!


FOR COLLEGES

ARRIVAL
Join Zoom link 25-30 minutes prior to the scheduled start time of the Panel. This will allow time for you to test or troubleshoot your Zoom connection and review event protocol with DTCB staff.

WAITING ROOM IS ENABLED
It is anticipated that College Panelists may need to hold temporarily in the Waiting Room while we close out the previous Fair Panel, however we are committed to operating all breakout rooms on a prescribed timeline in order to ensure that Panels start and end on schedule. 

UPDATE YOUR NAME ON ZOOM
Once you have entered the Zoom room, remember to update your name so that DTCB guests can easily identify you. Using the blue menu dots in the top-right corner of your personal Zoom window, click Rename and update your name according to instructions by your Zoom Host.

Audition Panelists: include an asterisk * at the beginning of your name (ex. “*DANCEWAVE – Aliya Perry – Special Events”).

If your program has a particularly long name, it is recommended that you use a preferred condensed version (ex. “*AMDA” versus “*AMDA College of the Performing Arts”).

VIEW SETTINGS
DTCB guests’ video and microphone will be turned OFF as they enter the College Fair Panel.

BREAKOUT ROOMS
Zoom Breakout Rooms divide DTCB guests into smaller groups, providing up to 15-minutes with each group to answer questions live and go a bit more in-depth about your program.

At the start of the Breakout Rooms, Panelists will be assigned to a Room initially by the Zoom Host. Once the first breakout session is finished, you will be rotated and re-assigned to the next Breakout room with a new group of students. This will be repeated again until you have met with all guests in the smaller group sessions. After the last Breakout Room group rotation, all guests will reconvene in the main Zoom Room for a final question poll and wrap-up.

CAMERA/MICROPHONE SETTINGS
For the best possible event flow, participants will be muted upon entry, with cameras turned off. College Fair Panelists and DTCB staff will be the only visible speakers for the duration of the Introduction and Wrap-up sections. Panelists should always have their cameras turned ON, and microphones muted when you are not speaking.
