  • When is the fair exactly? What dates will our school representatives need to be available?

Dancewave has partnered with the fabulous event app, Whova for this year’s virtual event! Experience the opportunity to network with prospective 2022-2023 students as early as October 1, 2021. Get creative and have fun with the Whova Career Fair/College Fair as you seek amazing talent to add to your community for the 2022-2023 school year. Below are some important dates to help maximize your experience: 

  • September 1
    • Complete setting up your virtual booth in Whova 
  • October 1 
    • Event app launches for all attendees 
  • October 12 - 21 - Scheduled LIVE College Fair 30-minute Zoom session (the calendly link to schedule your date and time will be included in the Whova booth access email)

*Including a Peer to Peer representative interview for up to 5-minutes (LIVE or recorded) within the 30-minute presentation is encouraged, but not required. 

  • Weekdays: 5:30 - 8:20pm ET
  • Saturdays: 9:00am - 3:50pm ET
  • Sundays: 9:00am - 11:30am ET
  • October 22 - Live College Fair Zoom sessions will be uploaded to the app for students to review at their own pace, available throughout the entire event experience this October. 
  • October 22 - 24 
    • High demand attendee weekend 
    • Students and parents participate in panels, masterclasses, workshops and review 30-minute recorded fair presentations.
    • Assign school representative(s) to answer questions and engage with attendees in the app throughout the weekend. Though your level of engagement with attendees is at your discretion, we recommend planning for a minimum of 8-10 hours throughout the weekend. 
      • Friday, October 22: 5:30-8:00pm ET
      • Saturday, October 23: 9:30am-5:15pm ET
      • Sunday, October 24: 10:00am-3:00pm ET
      • monitor app communication throughout the special weekend to engage with attendees online as your program sees fit. 
  • October 25 - Audition Panel is allowed to start notifying auditionees about program acceptance and scholarship offers.
  • January 1 - event app expires

  • Community Board and Meet & Greet - start a discussion topic and enjoy engaging with attendees 
  • Active virtual booth: attract a list of prospective students and resume uploads; attendees interested in your program will contact your team directly 
  • 30-minute presentation - spread your school’s voice! Help attendees visualize what the student/dancer experience would look and feel like pursuing a dance degree at your college/university. 
    • LIVE Zoom session with Q&A -  pre-scheduled date and time for your school between October 12 to 21
    • Students have the option to participate in the LIVE presentation as a guest or watch the recording at their own pace starting October 22. 
    • Only 60 presentation slots available! 

*Calendly link to schedule your school’s fair date and time will be provided in the Whova booth access email within 2-3 business days of registering for the event. East Coast Schools, please leave availability for different time zone by scheduling your 30-minute fair between 1:00pm and 5:30pm ET if at all possible.

  • When will our school receive our access link from the Whova app to build our virtual booth? 

Upon registering, you will receive an email from Whova with an access link within 2-3 business days of registering for the event. Dancewave encourages our partners to build your booth within 7 days of receiving your access link. All DTCB school booths must be completed by September 1. 

 

  • When will we have access to the event app and when will it expire?

The event app Whova will be available to all DTCB 2021 attendees from October 1 to January 1. Feel free to connect with students and parents through their profiles or keep engagement alive through Community Board discussions. Access to all event app features will not be available to students or colleges until October 1. 

 

  • How should we prepare for our 30-minute fair Q&A sessions? Will Dancewave be the moderator?

Dancewave will not be leading the 30-minute fair Q&A sessions, however Dancewave staff will be present during all 30 minute fair Q&A sessions to provide support and record the sessions. During this session, you will be able to spread awareness about the value of your program with attendees for a full half hour. The presentation will stream LIVE in the event app. Attendees will only be able to see YOU! You will see attendee profiles and participation in the chat. 

Staff required: 

-1 school representative (moderator)

-1 alum or current student (OPTIONAL)

Content ideas for 30-minute session:

    5. Admission tips - anything you think would be important for students interested to know about applying to your college/university

  •  What is Peer to Peer? When would we need to schedule our representative to be available?

The Peer to Peer portion of the programming is an opportunity for your current student or alum to share their personal testimonials and unique experience in your program. The Peer to Peer opportunity is 100% optional. If your school decides to spread the voice of one of your students it must be included within your 30-minute fair Q&A session. 

Optional Peer to Peer details include:

  • Option 1- Interview your representative LIVE for up to 5-minutes during your 30-minute fair presentation
  • Option 2 
    • Interview your representative prior to your school’s 30-minute fair presentation
    • Record and edit the footage; 5-minutes max
    • Share a video of your Peer to Peer representative answering interview questions during 30-minute fair presentation

Back by popular demand, Dancewave has transformed the magic of the Friday night in-person college student theater showcase into a virtual reality. By showcasing the caliber of dancers/students your program produces, attendees will not only be entertained but also inspired to learn more. The final DTCB Showcase video presentation will premiere in the app for guests to enjoy on Friday, October 22. 

  • A 5-7 minute stage performance footage and 1-minute introduction video must be emailed to Dancewave by August 15. 
  • Videos will be reviewed by Dancewave’s Artistic Advisory Council, Board of Directors, and DTCB team members and the DTCB showcase roster will be announced by August 30th. 
  • Up to 10 slots available! Dancewave would love to accept all submissions, but the DTCB Showcase must be 60-120 minutes max. 

Showcase submission instructions:

  • Attach your favorite or most memorable student stage dance performance or dance project over the past 3-5 years.
    • Select 5-7 minutes you would like to highlight for attendees
    • Notify the minutes where the highlighted segment starts and ends
  • Attach personal video introduction (1-minute max) - a representative from your program will introduce your school, him or herself, their position title, the name of the piece, the name of the choreographer, and will explain why it was selected as one of your program’s most memorable student performances.
  • In the body of the email - share the title of the piece, name of choreographer, and the year it was performed.

  • Credit Card payments are strongly recommended.

  • Please make sure to include your school’s billing address in the registration.
  • Dancewave will email your college/university an invoice within 3-5 business days to the primary 2021 event contacts. 
  • All purchase orders should be processed within 3-5 business days of receiving your school’s invoice. The final check payment must be delivered to Dancewave at 182 Fourth Avenue, Brooklyn, NY 11217, no later than September 1.
  • If you do not have to wait to process a purchase order, please mail your registration check as soon as possible. 
  • Schools can not be publicly announced as registered for the 2021 event until the final payment has been received. Dancewave must receive all 2021 final school registration payments by September 1. All payment delivery promises must be dated on or before the September 1 deadline on the purchase order. All payment delivery promises must be dated for September 1 or an earlier date on the purchase order. 
  • Dancewave can not guarantee a school submission entry for the Showcase until the $400 fair or $475 fair & audition panel admission fee is paid in full by August 15th.
  • Credit card payments are strongly encouraged but not required. 

Upon approval of Showcase footage, the $125 remaining balance will need to be mailed to Dancewave no later than September 1.

  • What will our school need to complete the virtual booth in the app?

*You will receive an email from Whova granting you access to design your school’s booth within 2-3 business days of registering. It’s user friendly and easy to use. Please see below for details and feel free to use DANCEWAVE BOOTH SETUP PAGE to reference.

Up to 200 Auditionees will have the opportunity to learn the required DTCB ballet and modern assignment. Our curriculum is tailored to meet the exact needs of our DTCB partners. 

  • How do the students audition?

Upon registering the students sign-up for ONE audition submission group. Each group will receive access to the password protected audition database by 6pm ET the night before their 2-week submission deadline begins. 

GROUP 1: ​July 8 - 22 

GROUP 2: ​July 22 - August 5 

​GROUP 3: ​August 5 -19 

​GROUP 4: ​August 19 - September 2

​GROUP 5: ​September 2 - 16

Example: 

  • Dancewave will send Group 5 their audition materials by September 1st at 6pm ET. 
  • Group 5 is responsible to submit ballet and modern video links, headshot, and resume by September 16th at 11:59pm ET. 
  •  How and when will the audition panel receive the DTCB 2021 auditionee materials and contact information?

Dancewave will send the DTCB 2021 Audition Panel up to 200 auditionee profiles in a password protected database and a detailed contact information spreadsheet by September 30th. The audition panel will be provided with the event registration information provided. For more information, please contact the student or parent separately after the event beginning on October 25th.

*Auditionees are instructed to upload their resume (often edited after submitted to Dancewave) and submit “job applications” to the Audition Panel or schools of interest through the virtual booths in the app (see above for more details about the career fair/college fair).  

  • Does our school have to accept the student solely on their DTCB audition submission?

The DTCB Audition has always been a one of a kind opportunity for families to save $$$ in traveling expenses by auditioning for over 30 top dance programs worldwide at the same time. Many families that register for DTCB would not have been able to audition for many schools without the DTCB platform. 95% of the Audition Panel will base program acceptance and scholarship consideration solely on the DTCB audition and dancers will not need to audition again for the college/university. These schools will notify participants as early as October/November.  An average 5% of the panel schools may require that the students submit additional materials such as a jazz video or request to attend the in-person audition only as needed.

  • When is our school allowed to start notifying auditionees about program acceptance and scholarship offers?

The Audition Panel is welcome to start notifying students and parents about program acceptance and scholarship offers beginning October 25th. Out of respect for other DTCB schools and students who may not be considered for your program it is imperative for the audition panel to start acceptance conversations after the DTCB event. 

  • Should we notify students interested in our program if they were NOT accepted?

Yes! Students and their parents are anxiously looking out for acceptance emails from schools of interest on the DTCB Audition Panel. It takes dedication and time for students to complete their online audition submission. Please notify auditionees interested in your program about acceptance or rejection beginning October 25th.
